Managing Projects
Learn how to create, configure, and manage research projects within your workspaces.
Introduction
Projects are where your actual research data lives in Cnidarity. Each project exists within a workspace and contains its own set of data models, records, and team members. Projects allow you to organize specific research initiatives with focused data structures and collaboration settings.
Projects are associated with subscription tiers that determine their capabilities, such as the number of models, records, and collaborators allowed.
Creating Projects
To create a new project within a workspace:
- From your workspace dashboard, click the "+ New Project" button in the top-right corner.
- In the "Create Project" form, enter a name for your project. Choose a descriptive name that reflects the project's research focus.
- Add a description that provides context about the project's purpose, methodology, or goals.
- Select a subscription tier that matches your project needs (Standard or Professional).
- Provide payment details or select an existing payment method.
- Click "Create" to complete the process.
Only workspace owners can create new projects. This ensures proper management of subscription resources and project organization within the workspace.
Project Settings
You can customize various aspects of your project through the project settings page:
Accessing Project Settings
- Navigate to your project in the workspace.
- Click on the "Settings" tab in the project navigation.
General Settings
In the General tab, you can modify basic project information:
- Project Name: Update the name of your project.
- Description: Modify the project description.
- Project Status: Mark a project as active, archived, or completed.
Subscription Management
Manage your project's subscription and billing details:
- Current Plan: View your current subscription details.
- Upgrade: Change to a higher subscription tier.
- Payment Methods: Update payment information.
- Billing History: View past invoices and payment records.
You can only upgrade subscription tiers, not downgrade. This ensures data integrity as projects grow. If you need a lower tier, consider creating a new project and migrating essential data.

Designed for small research teams
- Up to 8 data models
- Up to 80 model attributes
- Maximum 5,000 records
- Up to 15 additional team members

Jelly
Advanced features for growing research teams
- Up to 15 data models
- Up to 150 model attributes
- Maximum 50,000 records
- Up to 50 additional team members
- Export records

Swarm
Enterprise features for large institutions and departments
- Up to 25 data models
- Up to 250 model attributes
- Maximum 500,000 records

You can start with a lower tier and upgrade as your research project grows. Your data will be preserved when upgrading.
Managing Projects
As your research evolves, you may need to manage various aspects of your projects:
Project Dashboard
The project dashboard provides an overview of your project, including:
- Summary of models and records
- Recent activity within the project
- Quick access to create new models
- Project member information
Models Management
You can manage your project's data structure through the Models tab:
- Create new models for different research entities
- Add and configure attributes for each model
- Define relationships between models
- View and manage records for each model
Deleting Projects
To permanently remove a project:
- Navigate to Project Settings
- Scroll to the bottom of the General tab
- Click "Delete Project"
- Type the project name to confirm
- Click "Permanently Delete"
Deleting a project is irreversible. All data models, records, and project-specific settings will be permanently lost. Be absolutely certain before confirming this action.
Project Collaboration
Projects are designed for team collaboration on research initiatives:
Project Roles
Each project supports three member roles:
- Project Admin: Full control over the project, including managing models, attributes, relationships, project details, API access, and user privileges. Can create, update, and delete all project content.
- Regular User: Can create, update, and delete records (model attribute values), but cannot modify models, attributes, or relationships.
- View Only User: Read-only access to the project. Can view records but cannot create, update, or delete any content.

Best Practices
Follow these recommendations for effective project management:
- Organize related research in a single project: Group related models and data together rather than spreading across multiple projects.
- Design models before inviting team members: Set up your core data structure before bringing in collaborators.
- Use descriptive naming conventions: Create clear, consistent naming patterns for models and attributes.
- Regularly export important data: Create backups by exporting critical records periodically.
- Select appropriate subscription tiers: Match your tier to your expected project size and complexity.
- Document project structure: Use project descriptions and model documentation to help team members understand the data organization.
